Built first for finance and mortgage brokers

Keep the record. Not the raw ID image.

SightVault gives broker teams one organised place to upload ID files, prepare a sighting record, find active files quickly and keep the handling and deletion evidence that remains after the image is gone.

Targeting full launch after final build, testing and beta.

The problem

ID files are easy to collect. Much harder to control.

Photographic ID can arrive through email, phones, local folders and CRMs. Staff need it for an application, but the business also needs to know what is still active, when it should be removed and what record remains after deletion.

Manual reminders, spreadsheets and scattered folders turn that into repeated admin—and make it harder to find the right file or prove what happened later.

01

Files spread across systems

Teams lose time searching inboxes, devices and folders for the current copy.

02

Deletion relies on memory

Calendar reminders and manual logs make a simple process harder than it needs to be.

03

The image disappears—but the record must remain

Businesses still need a consistent sighting record and a clear deletion history after the raw file is removed.

The SightVault solution

One focused workflow from upload to deletion.

Upload the permitted ID image, organise it against the right client, use AI-assisted reading to prepare visible document details, and create the retained sighting record your team can find later.

While the image is still needed, authorised users can retrieve it from the same client record. When the holding window ends—or a user deletes it earlier—SightVault keeps the sighting record, retention history and deletion log.

How it works

Five steps. One clear record trail.

The raw image stays temporary. The business record remains.

  1. 1.

Upload one client or a batch

Add licence images, passport pages or other supported photo ID files using the client mobile, your client ID or an application reference.

  2. 2.

Organise and read the visible fields

SightVault groups files, identifies the document and side, and uses AI to assist with reading visible details for the record.

  3. 3.

    Create the sighting record

The retained record captures the document details, staff user, sighting context, processing status, source files and retention information.

  4. 4.

Find the raw image while it is active

Search by client name, mobile, client ID or application reference. Authorised users can open the image during the holding window.

  5. 5.

Delete the image and keep the evidence

Delete earlier when no longer needed, or let the configured schedule remove the raw image. The sighting record and deletion log remain.

Why teams use SightVault

Less chasing. Better visibility. A record that survives deletion.

  • Replace spreadsheet reminders with a visible holding and deletion workflow.
  • Find active files using the client details your team already knows.
  • Keep a consistent sighting record after the raw image has been removed.
  • Separate upload, raw-image, report, deletion and administration permissions.
  • See unassigned and manual-review items before they disappear into the process.
  • Download the records and deletion history your business needs to retain.

Product features

Everything needed to move from raw file to retained record.

01

Single and bulk upload

Add one client at a time or group multiple files using the mobile number or your client reference.

02

AI-assisted field reading

Read visible names, dates, document numbers, expiry, issue location, addresses and document sides to help prepare the record.

03

Fast client search

Search by full name, mobile, client ID or application reference and see the raw-file status immediately.

04

Retained sighting records

Keep the document details and handling history in a structured record after the photographic copy is deleted.

05

Manual and automatic deletion

Use a 12-day default holding window, choose an earlier date or delete immediately when the file is no longer needed. Settings cannot exceed 14 days.

06

Deletion logs and exports

Keep a searchable history of the file received, deletion due date, deletion time, method, user and result.

07

Unassigned and review queues

See thumbnails and exceptions that need a client reference or staff confirmation before the record is finalised.

08

Users and permissions

Give staff the access required for their role without opening raw images or sensitive actions to everyone.

09

Aggregator and CRM pathway

Start with the self-serve portal, with an API pathway in development for connected broker and network workflows.

Frequently asked questions

Practical answers for busy teams.

How do I find a client's ID or sighting record later?

Search by the client's full name, mobile number, your client ID or application reference. During the active holding window, authorised users can open the raw image. The sighting record remains available after deletion.

How long is the raw ID image kept?

The default setting is 12 days from upload. A workspace can choose a shorter period, with no setting above 14 days, and an authorised user can delete the image earlier.

What remains after the raw image is deleted?

The sighting record, retention information, register entry, deletion log and relevant activity history remain. The raw image and its thumbnail are removed from active product storage.

Can I restrict staff access?

Yes. Permissions can separate upload, raw-image access, manual deletion, sighting-record access, exports, user management and workspace settings.

What happens if a file has no mobile number or client reference?

It moves to the Unassigned Uploads queue with a front-ID thumbnail so staff can identify the file, add the correct mobile or client ID, or delete it.

Can aggregators connect their CRM?

An API pathway is in development. The first access model is the self-serve broker portal, with connected workflows defined separately with the aggregator or CRM team.

Product boundary

A focused record workflow.

SightVault helps organise temporary ID files, sighting records and deletion evidence while each business remains responsible for its own customer and lender processes.

SightVault creates ID sighting records and deletion evidence. It does not independently verify identity, conduct DVS/IDV checks, perform AML verification or guarantee compliance outcomes.

SightVault is not intended to replace a broker’s own legal, privacy, AML/CTF, responsible lending or lender-process obligations. It provides a secure record workflow and deletion evidence.
